What is Dis-Chem Store Bookings?
Dis-Chem Store Bookings is an integrated platform utilised to assess and allocate promoter activities across the Dis-Chem store universe based on availability and suitability.
Who needs to utilise the Dis-Chem Store Booking platform?
Any and all suppliers who intend to utilise a non-Dis-Chem staff member to promote their product or represent their brand in a Dis-Chem store.

How do I book a promoter campaign in Dis-Chem?
You can use the booking link on this site to complete a Booking Requisition Form or you can contact XP Squared directly on info@xp2.co.za or 0879850995.​

How far in advance do I need to submit my Booking Requisition Form?
​
Booking turnaround can extend up to 6 weeks based on demand which is largely influenced by promotional periods and seasons i.e. Beauty Fair, Christmas, etc.
Why do I need to submit my Booking Requisition Form so far in advance?
We work in a queued system allowing us to process one booking request at a time, in order to ensure that store and category restrictions are complied with; thus in fairness to all Dis-Chem suppliers, all requisitions are ticketed and processed on a first-come-first-served basis.

What are store restrictions?
Dis-Chem restricts the number of promoters allowed per store based on its size and layout to ensure that both the shopper journey and store operations are not negatively impacted.
What are category restrictions?
Dis-Chem offers exclusivity in certain categories allowing brands the best opportunity for a captive audience for their promoter and campaign. *Exclusivity is category specific, and may be amended without notice dependent on the operational needs of Dis-Chem.
Are there costs associated with Store Bookings?
Yes. Dis-Chem Store Booking Fees vary depending on the kind of booking required and are subject to change, from time to time, thus a cost estimate will be sent to you once we have sufficient information to provide you with same.
I plan to have regular promoter activity in Dis-Chem, how far in advance can I book my schedule?

Promotional staff bookings can be secured for up to 3 months in advance (provided the booking fee is paid on approval); however failure to honour the booking will result in cancellation (without refund).

The Booking System and process is managed by activation partner, XP Squared, they maybe be reached at info@xp2.co.za or 0879850995.

Can I use my own activation/promotions agency to supply promoters in Dis-Chem?
No, Dis-Chem has vetted and contracted a preferred partner, namely XP Squared Proprietary Limited.
Why can I not use my own activations/promotions agency?
With 100s of stores and 1000s of suppliers it is not possible for Dis-Chem to ensure standardised execution and compliance across multiple agencies thus Dis-Chem has taken this decision to ensure that all 3rd party representatives working in a Dis-Chem store are compliant with the rules and regulations as set out by Dis-Chem Pharmacies legal department thereby safeguarding the stores, the suppliers, the brands and the shopper.
Who is XP Squared?
XP Squared has been the Dis-Chem preferred activation partner since 2016. They manage the bookings systems and calendars for all promotional staffing as well as the execution of promoter related activity for all Dis-Chem Suppliers. For more information about XP Squared go to www.xp2.co.za.
Can I use a specialist agency for professionally certified staff i.e nurses, make-up artists, etc?
Yes, in the event that XP Squared cannot provide you with certified professional staff you may contract a Specialist Agency however additional requirements will apply.
What additional requirements apply to Specialist Staffing Agencies?
Below is a list of current requirements however Dis-Chem and XP Squared reserve the right to amend this list and/or request additional information and/or documentation, the same which may be be amended from time to time, and/or applied on a case-by-case basis:

The Supplier must provide a letter on a company letterhead which is signed by a director of the company, the same which must include:
-
motivation for the use of staff supplied by a specialist agency (including the agencies credentials); and
-
acknowledgement of liability related to or resulting from any action or advice, indemnifying Dis-Chem Pharmacies Limited and XP Squared Proprietary Limited from any and all claims that may arise; and
-
acknowledgement that the supplier will remain responsible for the actions of the agency and the staff supplied by the agency whilst in attendance in any Dis-Chem location.

Credentials of the Specialist Agency.

Proof of professional certification for Agency Staff.

Copies of Identity Documents and Work Permit (where applicable) for all Agency staff in Dis-Chem stores.

Specialist Agencies Letter of Good Standing from the Department of Employment and Labour in accordance with Compensation for Occupational Injuries and Diseases Act 130 of 1993 (as amended).

Proof of Public Liability Insurance no less than R5,000,000.

The Supplier must confirm that all Agency Staff have been trained on the Dis-Chem Store Policies.

The Supplier must ensure that all Agency Staff have signed the Dis-Chem External Suppliers/Sales Reps/Promoters/Merchandisers and Store Policy Contract confirming their understanding of and commitment to adherence explained therein.

The Supplier must ensure that all Contracts, as mentioned above and ID Documents are received by XP Squared no later than 7 working days prior to the commencement of the activations to allow sufficient time for the documents to be processed.

Is the same documentation required when booking a promoter through XP Squared?
​
No, all you will be required to provide is a Purchase Order issued by the procurement department of the company confirming the approval of your booking and the cost thereof.

Why does the documentation requirements differ when booking promoter through XP Squared?
​
Dis-Chem's contract with XP Squared dictates that the agency have all of the above in place for all promotional staff which they deploy in Dis-Chem stores; thus XP Squared is contractually liable for any and all staff provided on behalf of you, the supplier.

COMPANY REPRESENATATIVE BOOKINGS
Can I use my own employee/s to promote my products in Dis-Chem?
Yes, Dis-Chem does make provision for suppliers to utilise their own employees (hereafter referred to as Company Representatives) however all activations must still be booked via XP Squared and the Booking System. *Please note additional requirements will apply.
What additional requirements apply to Company Representatives?
Below is a list of current requirements however Dis-Chem and XP Squared reserve the right to amend this list and/or request additional information and/or documentation, the same which will be applied from time to time, and/or on a case-by-case basis:

The Supplier must provide a letter (on a company letterhead, signed by a director of the company) confirming the use of their own employees and indemnifying Dis-Chem Pharmacies Limited and XP Squared Proprietary Limited from any and all claims relating to any activity and/or advice provided by the Company Representative and any resultant claims.

The Supplier must provide proof of employment for each employee together with a copy of their Identity Documents and our Work Permit (where applicable).

The Supplier must provide a Letter of Good Standing from the Department of Employment and Labour in accordance with Compensation for Occupational Injuries and Diseases Act 130 of 1993 (as amended).

The supplier must provide proof of Public Liability Insurance no less than R5,000,000.

All Company Representatives must be trained on the Dis-Chem Store Policies.

All Company Representatives must sign a Dis-Chem External Suppliers/Sales Reps/Promoters/Merchandisers at Store Policy Contract confirming their understanding of and commitment to adherence of the rules and regulations as stipulated by Dis-Chem.

All Company Documents must be supplied when you are listed and must be updated as and when necessary or requested; all Employee documents must be supplied prior to their first activation in Dis-Chem and need only be supplied if an update is requested.
